Article metadata deposit form

Hi all. Being an infant in DOI registration, my humble request is to lead me towards precise answer/link.

Query: We have registered our journal DOI via web deposit form. A’Success’ message was displayed. Now Where and how to add metadata of articles. We are not familiar with XML files and we don’t use OJS plugin.

We have registered our journal DOI via web deposit form. A’Success’ message was displayed.

That “Success” message just means that the metadata you’ve entered into the form has been transformed into valid Crossref xml, and that xml file has been submitted to our processing queue.

If you submit metadata using the Web Deposit Form you will receive an initial email from reports@crossref.org with the subject line “Crossref WebDeposit - XML.” This email contains a copy of the XML file that was created and submitted to our system. This confirms that your deposit was submitted to our system, but does not mean that it has been processed yet. The XML file is for your records only.

Once your deposit has finished processing, you will receive an email from admin@crossref.org with the subject line “Crossref submission ID:…” and the specific submission ID number for that deposit. This email contains the Submission log for your deposit. The log will either confirm the success of your deposit or display any relevant error messages.

If, for some reason, you do not receive an email, you can also retrieve your logs using our system interface. And, if you run into any problems with metadata deposits, the submission ID number is what we need from you to investigate the problem.

Now Where and how to add metadata of articles.

It sounds like you only submitted the Journal- and Issue-level metadata on the first page of the form. Is that correct?

If so, you’ll need to go back and fill out that Journal- and Issue-level metadata again, but this time, select “Add Articles” and not “Submit Journal/Issue DOI”.

Broadly speaking, assuming you have recently published a new issue of your journal and you want to register DOIs for all articles in the issue, these are the basic steps to take in the Web Deposit Form:

  1. Select the Journal data type
  2. Enter the Journal and Issue level metadata on the first page of the form.* At minimum this includes: Journal title, abbreviated journal title, ISSN(s), and at least one publication year (print or online). If applicable, also enter issue number, volume number, and full publication dates.
  3. Select ‘Add Articles’
  4. On the second page of the form, enter the metadata for your first article (article title, authors, page numbers if available), the article DOI, and article URL
  5. Click ‘Add Another Article’
  6. Continue to enter article metadata, DOIs, and URLs until you’ve entered all articles for the given issue.
  7. Click ‘Finish’
  8. Enter your username and password and click Login
  9. Enter your email address and click ‘Deposit’

*Journal DOI and Issue DOI are optional. You can just leave Journal DOI, Journal URL, Issue DOI, and Issue URL fields empty. Keep in mind that, if you do register a Journal DOI, it refers to the journal as a whole, and therefore cannot change. If you register one, you’ll have to use the same Journal DOI consistently in every metadata deposit you submit for a given journal
